Job Summary
The Coordinator, Database Services, Foundation is responsible for optimizing the effectiveness of the database and leveraging data for fundraising initiatives. This position is also responsible for the strategic oversight and maintenance of the fundraising database and financial records. This role manages gift processing and supports the information needs of the Foundation, including data extraction, interfacing with third party software, reporting analytics, training and project management.

Essential Duties and Responsibilities

Applicants may be asked to demonstrate any or all of the following duties:
• Ensure donor monetary and in-kind gift entries are accurately and timely entered into the database (Raiser's Edge) and immediately report any reconciliation discrepancies with bank deposits and the general ledger (Financial Edge) to supervisor.
• Establishes protocols and procedures to protect the integrity of the data in the database. Maintains the accuracy of the biographic/demographic records including entering the initial data, updating data as needed, and using tracers, news releases, telephone calls, research firms and postal changes to obtain new data.
• Maintains fundraising information according to CASE/NACUBO standards.
• Ensures the health and integrity of the donor and financial databases by coordinating updates from the vendor, troubleshooting security alerts, and recommending system and process improvements.
• Produce a variety of reports relating to donations, including achievement by event, appeal, campaign, trending analysis, etc., as needed.
• Extracts and provides accurate custom reporting, creating queries, exports, surveys and dashboards for the Executive Director for status reports for the Board of Trustees, the Foundation Board of Directors, the Foundation Committees, and other College departments. These reports support the advancement team's fundraising, stewardship, and alumni relations efforts.
• Works collaboratively with other SCF Departments as it relates to entering, tracking, and reporting departmental donations, as well as donor webpages for departments and the Foundation. Assists with maintaining the Foundation's website.
• Processes gifts and gift batches and prepares gift receipts, and/or pledge reminders. Records and tracks all gifts-in-kind. Assists with annual donor statements at the close of each calendar year.
• Updates, records and researches corporate matching gifts to ensure all eligible gifts are matched.
• Attends and assists at all Foundation events. This includes maintaining all event reservations prior to each event, recording event attendance, and working at the event.
• Performs other duties as assigned by supervisor.
Job Qualifications

• Education/Experience:
Associate's degree or higher or equivalent experience. Database software experience required, preferably Raiser's Edge NXT and Raiser's Edge 7 Expert experience with Excel is required. A minimum of two years' previous experience with database responsibilities, including experience with queries and data reporting is required. Working knowledge of web page software. Previous experience in a college/university and/or non-profit setting is highly desirable.
• Supervisory Experience:
No supervisory experience needed.
• Language Ability:
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or government regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
• Math Ability:
Ability to add, subtract, multiply, and divide using whole numbers, common fractions, and decimals. Ability to perform calculations on standard measures of American currency and weight, volume, and distance.
• Reasoning Ability:
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Ability to work with formulas, scientific equations, graphs, musical notes, etc.
• Computer Skills:
In-depth knowledge of Windows and Microsoft Office operations; Word; Excel; Access; and not-for-profit database, preferably working knowledge of Raiser's Edge 7 software.
• Certificates and Licenses:
Ability to be bonded by the Foundation's insurance policy.
Responsibility for People and Property:
Responsible for the integrity of the Foundation's entire electronic and hard copy biographical and gift database.
Responsibility for Communication:
• Internal Contacts:
This position has routine contact with Foundation staff and various College employees/ volunteers.
• External Contacts:
This position has frequent contact with benefactors, alumni and friends of the College regarding gift or name and address updates as well as mail houses and software vendors.
