The mission of the Sarasota Performing Arts Foundation (“The Foundation”) is to create a world-class performing arts center, that enriches the community, supports arts education, and inspires young minds.
The Foundation is partnering with the City of Sarasota, other regional municipalities, private philanthropists, and foundations to build and operate what will be the performing arts centerpiece of Sarasota and the entire Gulf Coast region. The new performing arts center will be a public-private partnership in which the City of Sarasota and the Foundation will be the principal participants. Completing the project – construction, operations, and programming – will require funding of more than $275 million, of which 50% is anticipated to be raised from philanthropic sources.

Position Summary:
The Development Operations Manager plays a vital role in supporting the fundraising efforts of the Sarasota Performing Arts Foundation by managing the day-to-day operations of the development department. This position ensures the smooth execution of administrative functions, campaign support, and donor stewardship. Reporting to the Chief Development Officer (CDO), the Development Operations Manager will be responsible for calendar and communications management, donor acknowledgment processes, and capital campaign coordination, while serving as a key liaison to board members, donors, and internal stakeholders.

Essential Duties and Responsibilities:
Administrative & Executive Support
Manage the Chief Development Officer’s calendar, including preparing itineraries, donor briefings, and assisting with development related budget-tracking and expense updates.
Prepare meeting materials and support follow-up communications.
Draft, edit, and format correspondence, donor acknowledgment letters, proposals and internal documents.
Maintain organized digital and physical filing systems related to development efforts.
Donor & Board Communications
Serve as a professional and responsive point of contact for donors, board members, and leadership volunteers on behalf of Development.
Coordinate and send timely donor acknowledgments, including monitoring accuracy and fulfillment of gift recognition procedures.
Support the planning and execution of donor cultivation and stewardship events.
Manage updates to donor records and track engagement in the CRM/database.
Campaign & Development Operations
Provide administrative and logistical support for capital campaign activities, including cabinet meetings, tracking gifts and pledges, managing campaign timelines, and preparing progress reports.
Work in collaboration with Data Manager to maintain campaign prospect lists, research profiles, and meeting briefings.
Support the planning and execution of development initiatives, mailings, and digital campaigns.
Assist with coordination of Development team meetings and goal tracking.
Other responsibilities
General team support for the department, as requested.
Qualifications
3+ years of experience in nonprofit development, fundraising administration, or executive support.
Knowledge, Skills, and Abilities
Demonstrated success managing donor relationships, soliciting gifts, and meeting fundraising goals.
Strong written and verbal communication skills with the ability to convey impact and inspire support.
High level of professionalism, integrity, and discretion in working with donors and volunteers.
Excellent writing, editing, and proofreading skills.
High level of organization, attention to detail, and follow-through.
Proficiency in Microsoft Office 365 applications.
Experience with Tessitura or similar CRM/database preferred.
Strong organizational skills with the ability to manage multiple priorities and deadlines.
Team-oriented with a collaborative spirit and proactive approach to problem-solving.
Proficiency in CRM/database systems (e.g., Salesforce, Tessitura, or similar) and Microsoft Office Suite.
Ability to manage multiple priorities with discretion, professionalism, and a proactive mindset.
Strong interpersonal skills and customer service oriented.
Ability to work occasionally in the evening and on weekends for events.
