Job Summary


Serves as Office Supervisor and assistant to faculty and other office administrative staff. Schedules appointments, gives information to callers and otherwise relieves managers of clerical work and routine administrative details by performing the duties listed below.

Essential Duties and Responsibilities

Applicants may be asked to demonstrate any or all the following duties:


• Upholds the department's mission and vision while fostering a positive office environment.

• Contribute to maintaining high levels of external and internal customer satisfaction.

• Provide general administrative support, including answering phones, greeting visitors, and managing office correspondence.

• Collaborates with the Dean and Directors to develop operational procedures and best practices.

• Updates the student, faculty, operations, and administration policy and procedures as advised.

• Supports the Completion Coordinator in gathering and compiling information for program quality and student success.

• Coordinates and oversees the work of student assistants and temporary staff.

• Manages electronic filing and quality assurance in Project Concert.

• Supports the Clinical Coordinator with CRN management and performs a quality review of the schedule before student registration each semester.

• Maintain accurate faculty and staff directories, schedule meetings, and provide support for payroll and travel arrangements.

• Assist the ASN Director with the student registration process.

• Contribute to the production of a monthly nursing newsletter and manage internal communications in collaboration with the Dean.

• Secures rooms for all nursing classes and meetings.

• Aids the CARE Committee in organizing and planning division events.

• Schedules meetings in collaboration with the committee leader, creates and distributes agendas, and communicates meeting times with faculty and staff.

• In collaboration with the Operations Coordinator, prepare requisitions, purchase orders, and encumbrances, and work with Banner and Budget spreadsheets. Track purchases through delivery and payment.

• Assist with the onboarding of new employees, including setting up office equipment and providing necessary resources.

• Assist with resolving technical issues, including software troubleshooting and equipment maintenance.

• Operates as the building manager for Building 29, reports building needs to facilities, and completes requisitions using School Dude.

• Manages faculty office-hour documentation weekly and manages the division time off calendar.

• Performs other duties as assigned by the supervisor.


Job Qualifications

• Education/Experience:


An associate degree in business administration, healthcare management, or a related field or the equivalent combination of education and experience. A bachelor's degree is strongly preferred in business administration, healthcare management, nursing, or a related field. At least 3 years of experience in administrative roles, with a preference for those in healthcare settings. Experience with Banner, purchasing, and Accreditation Commission for Education in Nursing (ACEN) is preferred, but not required.


Office Management Experience, Proficient in Microsoft Excel, Word, Outlook, and TEAMS, Organized and Self-Motivated, Professional


• Supervisory Experience:


One or more years of experience as a supervisor, responsible for scheduling and assigning work, training new employees, and assisting others with problems, is preferred.


• Language Ability:


Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports, business correspondence, and procedure manuals. Ability to speak effectively before groups of customers or employees of the organization.


• Math Ability:


Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to apply concepts of basic algebra and geometry.


• Reasoning Ability:


Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram/chart, or schedule form.


• Computer Skills


The employee must have intermediate knowledge of work processing, internet, spreadsheet, database, and presentation software. The employee must operate database software used by the nursing department.


• Certificates and Licenses:


Project Management Professional (PMP) is preferred.

Responsibility for People and Property:

Responsible for supervising the student workers.

This position has routine contact with all levels of college faculty, staff, students, and administrators.

• External Contacts:


This position has routine contact with external contacts such as clinical partners, accrediting agencies, government or other academic institutions, employment applicants, vendors and the general public.
